Calidore Limited (“Calidore”, “we”, “us”) is committed to safeguarding your privacy. This policy explains how we treat your personal information when you use our website, ask for a demo, sign up for our services, speak to a member of our staff, or otherwise interact with Calidore.

What personal information we collect

Most of the information we hold has been given to us by you, or is created through your use of our products and services. It includes:

• Information about you and the company you work for, when you contact us or register for an account: your name and contact details, your company name and details, your role, and how you heard about us.
• Enquiries and demo requests from this website. When you send us a form, we receive your name, work email, company, phone number (if you give one) and your message. We also record how you reached our site — the page you landed on, the site that referred you, and any campaign or advert codes in the link you followed (for example utm_source or a Google Ads click ID). This tells us which of our campaigns bring enquiries.
• Transaction, invoicing and delivery information, if you buy from us or contract for one of our solutions or services.
• Records of your interactions with us, for example if you email us, ask a technical question, report a problem or otherwise contact us. If you telephone us, we may record the call for compliance, quality and staff training purposes.
• Survey and competition responses, if you take part in one.
• Information from our sales team, for example if you meet us at a trade show or at your premises.
• How you use our website and services, such as the pages you visit, the website you came from, your device and browser, and your IP address. Where analytics and advertising tools are involved, we only collect this with your permission — see Cookies and similar technologies.
• Marketing email activity. Marketing emails we send may detect whether you opened them or clicked a link. We use this to measure performance and to tailor what we send you.

How we use your information, and why we are allowed to

We use your information to:

• Provide the products and services you have contracted for, and fulfil your orders — because it is necessary for our contract with you or your company.
• Answer your enquiries and demo requests, and manage support questions and complaints — because it is in our legitimate interests, and yours, to respond when you contact us.
• Understand our customers and improve our products and services, and run our business day to day — because it is in Calidore’s legitimate interests as a software and services provider to maintain and promote our services.
• Measure our website and advertising — only where you have given your consent through our cookie banner.
• Send you marketing — where you have consented, or where we are otherwise allowed to by law. You can opt out at any time.
• Comply with the laws and regulations that apply to us, and protect our business, our customers and our employees.

We keep your information only for as long as we need it for these purposes, or as long as the law requires.

Cookies and similar technologies

Cookies are small files that a website stores in your browser. We also use your browser’s own storage, which works in a similar way. When you first visit, we ask which kinds you allow, and you can change your choice at any time with the Cookie settings link at the bottom of every page.

These are needed for the site to work and are not used for advertising.

When you send a form, we also keep a one-way, salted code derived from your IP address, to stop the same visitor sending large numbers of messages. We cannot turn that code back into your IP address.

Only with your permission

If you choose Allow all cookies, we also use:

• Google Tag Manager, which loads our analytics and advertising tools, together with Google Analytics, which shows us how the site is used, and Google Ads, which tells us which adverts led to an enquiry. If we advertise on other platforms, such as LinkedIn or Meta (Facebook), their tags also load only after you allow them.
• cal_attr as a cookie, kept for up to 90 days, so that if you come back later and send an enquiry we still know which campaign first brought you.

Until you choose, these tools are set to “denied” using Google Consent Mode. In that state no analytics or advertising cookies are stored, although Google may receive limited information without cookies — for example, that a page was viewed — which it uses in aggregated form. If you choose Essential cookies only, that remains the case.

Videos

Our demo videos are hosted on YouTube and Vimeo. They do not load until you press play, and we use YouTube’s privacy-enhanced mode and Vimeo’s “do not track” setting. Once you play a video, YouTube or Vimeo may set their own cookies under their own privacy policies.

Sharing your information

We keep your information confidential. We only share it outside Calidore with third parties that help us provide our services and run our business — for example the companies that host our website and handle our email and, if you allow it, Google and other advertising platforms as described above. We require them to keep it secure and to use it only for the purpose we gave it to them.

Transferring information overseas

Most of the information we hold about you is used and stored in the UK. However, some of our operations and third-party providers are based outside the UK, so we may transfer your information overseas. We will make sure that any transfer to another country is lawful and that your information is always kept safe.

Your rights

You have a number of legal rights over your information. You can ask us to:

• tell you what information we hold about you, and give you a copy of it;
• correct or update information that is wrong;
• stop using your information in certain circumstances, or delete it;
• stop sending you marketing; and
• send some of your data to someone else for them to use.

In some cases, asking us to do this may mean that we can no longer provide you with products or services. To use any of these rights, contact us using the details under Who we are.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk. We would be grateful for the chance to put things right first.

Changes to this policy

We may change this policy from time to time to reflect changes in the law, regulatory guidance or our data privacy practices. The date at the top shows when it was last updated. Where the law requires it, we will tell you about any change to how we use your information and, if necessary, ask for your consent again.
